Ballistic Arts Media Studios exists to create no bullsh*t solutions for our clients. We leverage our 18 years of creative experience to build data driven sales funnels that generate results. We love to spend our time dreaming up incredible marketing campaigns, on any platform, for our clients.

We started in 2002 as a creative agency, but the digital landscape has changed since then. Before it was difficult to be 100% certain of the results that creative work produced. However, today’s modern marketer has a plethora of tools at their disposal to tell them exactly how effective their work is.

We decided to use our creative experience with the best digital marketing practices, and focus on producing data driven results for our clients. We win when our clients win. To build upon the work we have done so far we are looking for a steady, no-nonsense, amazing Project Coordinator to join our team.

The ideal candidate has very strong time management skills as they will need to navigate multiple disciplines and projects on a daily basis. They will be supported by a talented group of experts in their respective fields who will provide knowledge for the Project Coordinator to utilize in responding to and taking care of our clients.

Accountabilities

  • Handle day-to-day communication with clients and team members
  • Maintain and manage project schedules and tasks through Asana, ensuring tasks are assigned appropriately and on-track
  • Determining project changes and working with the Project Managers to respond accordingly
  • Data-entry into various software (Asana and Everhour) and Sheets that provide Leadership and Project Management reports on resource management and efficiency
  • Organize files and reports
  • Receive and delegate project and/or service update requests from clients 
  • Being an active member of resourcing, project, and creative discussions and meetings to move projects and the company forward

Skills and Experience

  • Proficiency in Project Management Software
  • Excellent verbal and written communication skills
  • Strong time management skills and ability to prioritize tasks based on urgency
  • Analytical with a keen eye for detail
  • A problem solver

Job Description

  • Maintaining and managing project schedules and tasks through Asana, ensuring tasks are assigned and on-track
  • Determining project changes and working with the Project Manager to respond accordingly
  • Working with clients to get necessary assets, content, and approvals
  • Working with suppliers to ensure they understand assignments and will be on time and on budget
  • Actively involved in meetings and ensuring necessary actions and next steps are tracked through Asana and assigned to the right people
